Transportation Information

Flight Reservations

If Gradient Event Headquarters provided your airline arrangements, your flight reservation was sent to you via email. Any changes to your reservation (time, date or cancellations) must be made prior to the original departure dates in order to retain the value of your ticket. Voluntary changes will incur additional fees; these additional charges will be your responsibility.

Airlines

Passport and Travel Documents

U.S. citizens require a valid passport as proof of citizenship. It is your responsibility to obtain all necessary travel documents, valid passports and visas (if applicable) for your trip. Standard processing time for obtaining a U.S. passport is six weeks.

Please carry the required document(s) with you. DO NOT PACK YOUR PASSPORT IN YOUR LUGGAGE. You will need to show it to several boarding agents.

Boarding Passes

Electronic tickets (e-tickets) have been issued. With an e-ticket, you may be able to print your boarding passes online up to 24 to 36 hours prior to departure, depending on the airline. Boarding passes may not print if you are traveling internationally or have been pre-selected for a security check. You will need a boarding pass to proceed through security checkpoints. You should be issued boarding passes and seat assignments for all of your connecting flights to your final destination. In the event you are not issued a boarding pass or seat assignment, make sure to check-in at the gate upon arrival into your connecting city.

Frequent Flyers

If you provided your frequent flyer information to Gradient Event Headquarters, we have entered it into your reservations. Make sure to keep your boarding pass in case of mileage discrepancies.

Seat Assignments

Seat assignments have been requested per your registration. If seat assignments are not indicated on your flight itinerary, they were unable to be assigned due to airline availability. Make sure to check-in early at the airport to secure the best seats.

Airport Check-In

At airport check-in, you will be asked for a government-issued passport. Your passport must match the name on your flight documents. You will be denied boarding if you do not have identification, or if your identification does not match your airline tickets.

We recommend you arrive at the airport at least two (2) to three (3) hours prior to your flight departure time. You must check-in a minimum of 90 minutes prior to departure and must be at the gate a minimum of 60 minutes prior to departure. Your luggage may not be accepted for check-in or you may be denied boarding if you do not comply with these requirements. Each airline has specific check-in and boarding requirements, and those requirements sometimes vary by city. We suggest that you confirm your check-in time directly with the airline before leaving home.

Make sure to allow enough time to clear security. Airlines sometimes change the type of aircraft shortly before departure. This can result in new seat assignments. We are not able to predict or prevent this.

Luggage Information

Checked Luggage

Most airlines are now charging fees for EACH piece of checked luggage. Charges vary depending on airline. Any piece of luggage that exceeds size and weight limitations will be subject to additional charges. All charges will be your responsibility.

Carry-On Luggage

For carry-on luggage, most airlines allow one piece, not to exceed 40 pounds; plus either a purse, briefcase, laptop or camera case. All carry-on luggage must either fit under your seat or in the overhead compartment.

Safety and Security

Your bags are subject to inspection at any time; we recommend you keep them unlocked. For the most up-to-date information on prohibited items, safety and security, please visit www.tsa.gov. You are allowed to bring the following in your carry-on: three ounces or smaller sized containers of liquid, placed in a one quart-sized, clear, zip-top bag and one bag per passenger. Please pack all other liquids in your checked luggage. Please carry all vital medication and important personal belongings such as cameras, jewelry, money and personal ID on you or in a carry-on bag. It’s best to leave all valuable items like expensive jewelry at home.

Travel Delays

Please contact Gradient Event Headquarters at 877-294-6824 if you are experiencing travel delays, such as a missed flight, during standard business hours of 8:00 AM to 5:00 PM, Monday through Friday. If you are traveling on a weekend and need emergency support, please call Marie Ahlers on her cell phone at 763-607-6359.

NOTE: Gradient Event Headquarters, as well as Gradient Insurance Brokerage, will not be open during weekend hours.

Airport Transfer Information

You will receive airport transfers to and from the resort on group arrival and departure dates.

NOTE: You are responsible for all airport transfers outside of group travel dates.

Arrivals

Upon arrival at Calgary International Airport, follow signs to the baggage claim area. Locate the correct baggage carousel and your luggage. The airport has complimentary luggage carts available for your use. The Calgary Airport Porters (Red Caps) are able to meet guests with signage at the baggage claim area and assist with getting the luggage together and helping escort the guests out to the waiting Pacific Destinations Travel Staff.

Once you have your luggage, look for the Pacific Destinations Travel Staff holding Gradient signage. They are dressed in a purple uniform and very visible. They will direct you and your luggage to the dedicated vehicles for your group. Your transfer time to the hotel is approximately 1.5 hours and there is cell service available for most of the trip. The drive is very scenic and enjoyable.

Departures

In your welcome bag, you will receive a departure notice. The notice will include the assigned time you depart the hotel on the group departure date.

NOTE: Those departing outside the group date will have a departure notice indicating no available transportation.

Support

Please note that Gradient Event Headquarters cannot assist with reservations they did not book.


Group Transportation

If you will be traveling on group travel dates transportation will be available at no additional cost.

Car Rental

Arrangements can be made directly or through the hotel's Concierge. There is a Hertz Car Rental outlet located in The Fairmont Banff Springs.

Parking

The hotel's parking is located beside the Convention Center. It is a three-level roofed parkade with 415 parking spaces:

  • Self-parking: $25 CAD/night, with unlimited access
  • Valet service: $39 CAD/night, with unlimited access

Estimated cab fares are as follows:

  • From YYC to Lake Louise: $399.00 CAD
  • From YYC to Banff: $289.70 CAD
